Board Member & Officer Elections
Board Member and Officer elections are held at the May WVPTO meeting each year. Additional votes may take place throughout the year as needed. Per the PTO bylaws, the number of board members must be no less than 5 and no more than 15. This includes the Principal and 2 Teacher Representatives, which means we can have up to 12 parent board members. The term for each board member is 2 years.

- Attend monthly PTO general meetings as well as any special meetings held by the Executive Board.
- Keep up with Board correspondence and participate in reviewing/evaluating ideas and proposals.
- Represent the parent community as a voting member of the PTO.
President & Vice President
- Oversee all PTO activities, including programs and fundraisers.
- Ensure the PTO organization maintains compliance with the PTO bylaws, as well as all local, state, and federal regulations, including the 501(c)(3) classification.
- Be the liaison between the PTO and school/district administration.
- Approve all financial expenditures for the PTO.
- Coordinate agenda for monthly PTO meetings.
Secretary
- Distribute monthly PTO meeting agendas to the parent community.
- Record minutes at PTO meetings and distribute minutes to the parent community.
Treasurer(s)
- Manage the PTO’s income and expenses. Track the budget over the course of the year.
- Collect and record all income and make deposits in a timely fashion.
- Process and record all reimbursement and check requests in a timely fashion; issue checks as needed.
- Create monthly financial reports of all PTO accounts for distribution to the PTO board members and present at each month's PTO meeting.
- Keep meticulous, detailed records of all financial transactions in all PTO accounts to be shared with tax preparer at the end of the fiscal year.
- File all financial and organization paperwork, as well as having taxes prepared annually.
- Use QuickBooks to:
- Record and track all income and expense transactions and reconcile with bank accounts monthly.
- Issue receipts for the Direct Donation Drive, Corporate Match requests, and other fundraisers as needed.
- Develop policies and procedures as needed to make PTO financial processes as efficient, transparent, and fiscally responsible as possible.
- Assist with developing each year's budget.
Communications Director
- Oversee all PTO communications, including Konstella, marquee, and WV Newsletters.
- Work with PTO board members to determine what programs and events need to be communicated.
- Assist committee leads with marketing programs and events to the West Valley community.
Fundraising Director
- Oversee all fundraising activities that fund the $200,000 to $300,000 annual PTO budget.
- Work with PTO board members to determine which fundraisers should be continued, added, or removed.
- Coordinate fundraising activities throughout the school year.
- Assist with recruiting fundraising leads and committee members when needed.
- Assist with planning and executing fundraisers when needed.
Programs Director
- Oversee all enrichment programs that operate under the PTO.
- Work with PTO board members to determine which programs should be continued, added, or removed.
- Assist with recruiting program committee leaders and members when needed.
- Provide guidance for committee leaders when coordinating and executing the programs.
